Project status

The HRIS (Workday) Project is moving forward as planned.

The DAS budget bill<https://olis.leg.state.or.us/liz/2017R1/Measures/Overview/HB5002>, as outlined in the latest version of HB 5002, passed the House of Representatives on Monday, June 26, 2017 and is scheduled for the Senate floor vote on Friday, June 30.

Legislative approval is a significant milestone for the project. Nevertheless, final approval of the budget is expected once the current legislative session ends (either on or before the state constitutional sine die on Monday, July 10) and the budget bill is signed in to law by Governor Kate Brown. Execution of contracts with IBM<https://www-935.ibm.com/services/workday/> (the system implementer) and Workday<https://www.workday.com/en-us/applications/human-capital-management.html?wdid=enus_ws_hm_wdhmprodarea_hcm_wd_web_17.0087> (the software solution) are currently under way.

Fit gap analysis in a nutshell

The project team recently completed the fit gap analysis with IBM and Workday. The fit gap process confirmed Workday's ability to replace PPDB/PICS as well as Oregon state government's current recruitment system, eRecruit (provided by NEOGOV). The learning management system, iLearnOregon (provided by Meridian Global LMS), is currently in the process of an upgrade and is expected to integrate with the Workday system once it goes live.

Significant functionality currently accomplished in agency shadow systems, along with functionality not possible today, is expected in all of the following areas:

  *   Reporting and Data Modeling
  *   Classification and Compensation
  *   Health and Safety
  *   Performance Management
  *   Leave and Schedule Management
  *   Labor Relations

Workday has a history of enhancing its system functionality every six months, and as a Software as a Service (SaaS), new functionality will automatically be available to Oregon state government along with all other Workday customers.

  *   Summer 2017: Planning Phase
  *   Summer - Fall 2017: Architect & Design Phase
  *   Winter 2017 / 2018: Configure & Prototype Phase
  *   Spring 2018: Test Phase
  *   Spring - Summer 2018: Deploy (Go-Live) Phase
  *   Summer 2018 and beyond: Post-Implementation Support Phase



SAVE THE DATE

  *   July 13, 2017 @ 9:00 AM - 11:00 AM: Workday demonstration session I; or

  *   July 13, 2017 @ 2:00 PM - 4:00 PM: Workday demonstration session II



The demos will be held in the Employment Department auditorium<http://mapq.st/2sSkmRu>. Each session will include approximately 90 minutes of demonstration and 30 minutes for Q&A.

Capacity is 145 per session on a first-come, first-served basis. Live streaming of the sessions for those unable to participate in either demo session is currently anticipated.
