If you have an Amazon Business account, a PO field will automatically display as you go through the steps. I find the reconciliation of shipments with invoices very time consuming and I end up talking to them every month for 30 minutes or more while they try to find the particular invoice(s) I am looking for (and I have already looked for the invoice(s) myself by this time). We are in a beta test program with Amazon for a new business invoicing system. We will start as soon as the City Manager signs the contract. I am hoping this will make reconciliation much simpler. We order all of our DVDs through Amazon due to their extensive catalog and low price. However, Ingram's invoicing is much better organized and easier to reconcile. I only purchase books from Amazon that I cannot find on Ingram.

Each of my staff members who makes purchases has a sub account, and they insert PO numbers with each order ? once it?s set up, it really does work smoothly.

I can't speak to the billing side of things because I just select dvds, but 
we use Midwest Tapes and they have a great selection and also discount each 
item. If we can't find an item in Midwest, we'll order from Amazon, but 
that doesn't happen very often. We also get audiobooks and music CDs from 
Midwest.

Perhaps it is just our library that is stuck with this situation. ?We use a corporate account and every month there are items we have paid on the previous month that show up on the next (I am not talking about items that will be billed on the previous month according to the date of the invoices ? that is straightforward). Every time we challenge this discrepancy the outsourcing bank that handles Amazon billing claims it is okay even though we are paying twice. (This bank also never sees the actual invoices - they are handled by a machine). So we often pay double on some invoices. Also, the amount we pay each month (total amount due on the bill) never matches the amount we mark off as paying for the invoices ? we are typically overpaying at least $30-80 each month. These two items SHOULD match and we have never gotten a satisfactory explanation from Amazon. This is something I am not comfortable with as we are using public funds which is why we are decreasing the amount of spe 
nding we do with Amazon. ?So, you may want to just double check those statements against what you actually pay. Like I said, maybe our library is the only one they are trying to rip off. J

Here at WCCLS, many of our libraries use Midwest Tape for their AV ordering?DVDs, Blu-rays, CDs, and audiobooks (and Ingram for book ordering). I was the Acquisitions Coordinator at Tigard Public Library for many years and found Midwest to have a great selection, excellent customer service, and the ability to order titles well in advance of release date. They have an easy to use website for selection and ordering, as well as great print catalogs. Their discount may vary based on quantity ordered?at Tigard, we got about 25% discount on DVDs; other libraries get around 20%. 

For titles that I couldn?t get through Midwest Tape, I did use Amazon with a City purchasing card.

If we can't find an item in Midwest, we'll order from Amazon, but that doesn't happen very often. We also get audiobooks and music CDs from Midwest.

Each of my staff members who makes purchases has a sub account, and they insert PO numbers with each order ? once it?s set up, it really does work smoothly.

Once we figured out that hurdle, though, it's not bad. Their monthly statements are pretty straightforward.

I don?t need to do anything with the credit statement other than give it a glance to make sure everything?s current. It took a little time on the phone to get the online access to invoices set up, but it?s been a breeze ever since.

Do you guys have a corporate credit account through Amazon? That's what we use, and it's not too terrible. I find reconciling credit card statements far more challenging than the monthly Amazon credit statement.
