EMAIL: New Fraud Method to Avoid

We have written before about how to determine if a suspicious email is legitimate or not. Unfortunately, these scammers continue to get better at disguising a fraudulent email to really make it look genuine.



They make you wonder just enough so that you will act on a request, click on a link, or download something that you should not.



For example, many people have used PayPal at one time or another… so it's not alarming if you receive an email from this organization. For example, this email that appeared to be from PayPal almost sucked me in ... because it came from ... at paypal.com<mailto:... at paypal.com>!



This is the note that appeared in my inbox. It wants me to click the button "View and Pay Invoice." If I were to do that, and it happened to be a "phishing" ploy, they could plant malicious malware on my computer.

So, I follow the first "Rule" and do my due diligence to see if this email really comes from PayPal.



First, I look to see if the sending email address has "paypal.com" because we know that the company name must be immediately in front of the ".com" for it to be legitimate.  It IS! Great, it must be a real email.



But I still know better than to click on the button, and I do know that I have not spent $1,000 on a Google Play eCard, so I scroll down to find the phone number to call.

It all looks legitimate, doesn't it?



I call the number. I get a male voice with a foreign accent answering. OK, there is a lot of outsourcing going on (and this is a Saturday) so I may be getting PayPal.



However, I am suspicious. I have to ask what company I've called. He tells me PayPal.



I explain that I have what I believed to be a fraudulent email and I want to be sure that PayPal doesn't think I owe them a thousand dollars.



He politely says he'll look into it and take care of it. He acts like a customer service representative. He looks up my account (so he told me) and sees that it is for a Google Play card.



And then he says, "It's OK, I'll fix it and refund your money." Humm, why refund something that I haven't spent? Fortunately, it triggers distrust and I remember that another important technique is: don't call the number listed; instead, look up the official PayPal number on their website and call that.



So I do. Wow, what a difference. Yes, I got a male voice with a foreign accent, however, he answered with a greeting and identified himself as being with PayPal.


What's Really Going On...



Continuing the call, I tell him I am checking this out because the email seemed to come legitimately from PayPal.com. I wanted to be sure it was bogus and that I was not being charged.



He explained that every day now, many people are creating new PayPal accounts within the legitimate system, to be able to send out these "phishing" emails with PayPal.com in them.



I was told NOT to click on any web links in it, nor any URLs because that is what gives the sneaky folks access to my computer. (I hadn't!)



He said to do two things:
1.  Forward the email to: spoof at paypal.com<mailto:spoof at paypal.com>. Then delete it. (Don't mark it as spam because that may prevent future emails from the real PayPal getting through.)
2.  Write down the real customer phone number so that you can compare it to what has been put in the phishing email message: 888-221-1161. You will not see the REAL PayPal customer support phone number in a fraudulent message.




Looking Back with a More Critical Eye



OK, crises averted. But should I have figured it out myself? I look back at the email for more clues.



Hmmm… two little things would not have been in a legitimate email. Can you tell what they are?

The first is the mistyping of the company name. It is PayPal (two capital "P"s) … not Paypal. Clearly, a business would not sway from its branding.



The second is the greeting: "Hello, Paypal". Really?! Even ignoring the comma in front of the name, no one would ever put its own company name in an intro to me.

Clues to Spot an Email Scam



There are specific red flags to spot when you receive a questionable email. Watch for these clues:
1.  Always look closely at the email "from" address.
2.  The email content may have broken English, misspelled words, or no punctuation.
3.  It asks for a reply with personal information.
4.  The email contains suspicious links and/or attachments.
5.  The subject line (or email content) contains urgent or threatening language.
6.  The content of the email is designed to trick you with an enticing offer or story.

Communications: Writing

"Must" instead of "have to"



"I have to tell you something." Sounds pretty important, right? You often use the words "have to" to show a need or obligation.



But what if you could swap that phrase with the word "must"?



"I must tell you something." Makes a stronger statement, for sure!



Here are some more examples for you to consider.  Which of the two feels stronger to you?


·    "We have to buy another ticket."
·    "We must buy another ticket."


·    "You have to come to the party."
·    "You must come to the party."


·    "I must study so I can pass the test."
·    "I have to study so I can pass the test."


·    "I must eat this because I want to be healthier."
·    "I have to eat this because I want to be healthier."



Look for ways to swap out the "have to" phrase and replace it with the word "must" to make your statements more compelling.

Leadership: Meeting Productivity



I bet you think that if your meeting has an agenda, you'll be more productive, right?



Certainly, that is true but there is another aspect to this planning tool that will increase the effectiveness of your time together even more.



Each agenda item falls into one of two groups:  topics that will require processing; and those which are for sharing only (no discussion needed or wanted).


·    Information Processing (IP)
·    Information Sharing (IS)



You can group all the Information Sharing items together if you like. And you can assign less time to these types of agenda items.  But regardless of when you talk about them, the group knows that they don't have to do any processing.  Just listen and ask questions to clarify.



Each of the Information Processing topics receives more time allocation.  The group understands that there is an objective to the conversation. Often a decision to be made.  The discussion moves toward that goal.

Try this concept the next time you have an agenda.  Share the purpose with your group so that everyone is on the same page.  See if this approach makes your meetings more focused and productive.
