WORD – Change Default Colors to Your Favorites

When I'm working on a Word document and changing colors -- whether it's for a font, a shape, or a text box, the default colors are not always the shades I want to use. Especially the tone of red, for example ... it has a very orange hue to it. I'd rather have a true red.



So… I wanted to find a way to change the default colors so that I wouldn't need to go to "more colors" each time I created a new document.



Hooray! While the "standard" colors cannot be changed, I can create my own Theme of custom colors in Word, Excel, and PowerPoint too! (If I want these same choices in PowerPoint and Excel, I can set them up separately in each platform ... they don't carry over from one to the other.)



The same is true for Google, however, you can only have Theme colors in G-Slides and G-Sheets (not G-Docs).




1. Create a Custom Theme in Word

To add a set of colors that match your branding and will be available going forward in new documents, you need to set up a new Theme. First, open a Word doc.


·    In the Design tab select Colors, and from the drop-down click Customize Colors.


·    The Create New Theme Colors window will open and you'll see a list of the main shades for the default theme.


·    Click the drop-down option next to any theme color that you want to change. For example, I might want to change Accent 1 to a red shade. When I click the drop-down I can choose More Colors and then key in the exact RGB or Hex value that I want to use.


·    Go through the list making color adjustments to any shades.

·    At the bottom under Name, give your new theme a custom name so that you can identify it.


·    In the Sample pane, you'll see the new colors in the image.


·    Click Save.



NOTE: To make changes to the Theme later, return to the Design tab, click Colors and right-click on top or your named Theme and select Edit.



In PowerPoint, find this option on the Design tab and click the drop-down to select Colors next to the theme thumbnails and follow the same steps.



In Excel, find the Colors option under the Page Layout tab, then continue with the steps above.



For Google, scroll down.




2. Designate Your New Theme as the Default



Now that you have created your custom colors, you can set your new Theme as the default for all new documents going forward.


·    On the Design tab, click Colors and make sure your new theme is selected.


·    Click the Set as Default option in the ribbon.


·    A window will open where you can click Yes to confirm the new setting change.

·    Now your new Theme will show when you go to the icon to change a font color.


·    NOTE: The standard colors below the theme shades will always stay the same.




Google Apps



At this time there is no option to create a color theme in Google Docs. However, in Google Slides and Sheets you can select and edit a Theme's colors that you can use in the future.



Google Slides:
·    In an open presentation, in the second row of navigation, select Theme.
·    From the Themes list that appears at the right, select a Theme that you want to customize by clicking on it.

·    Now, from the menu, select Slide and then Edit theme.
·    In the new row of options at the top, select Colors.
·    In the new menu that appears to the right, click the Choose a theme color drop-down list to see the theme's settings.
·    Click on any color and change it to a shade that you want for the theme.
·    Continue changing any other colors and then click the "X" in the upper right window to close the Theme colors box.

Google Sheets:

In Sheets, the steps are the same as Slides, except for the first one.


·    With a Sheets file open, from the menu choose Format, then Theme.
·    The Themes window will open to the right. Select one by clicking on it that you would like to modify and then click the Customize button.
·    Click on any color and change it to a shade that you want for the theme.
·    Continue changing any other colors and then click the Done button in the upper right window to close the Theme colors box.

Using a calendar to communicate



We all have calendars to manage our time so that we know when we have meetings and so forth.



But have you ever thought about a calendar as a marketing tool? Just think about it. It has longevity because it stays in place for all to see for as long as you leave it up (unlike social media). It's graphical in nature which always attacks people's interest. It's engaging so that your users can sign up for events (if you set it up that way).



When you see a calendar posted on a website, you gain a higher respect for the sponsoring organization, right?



Seeing the date-centered tool on a page, along with your branding, communicates to your users that:


·    They can trust you to deliver what you're featuring. It gives a sense of permanence and professionalism.


·    They may get excited about the variety of offerings and participate in more of them than if there were no calendar.


·    They are more likely to rummage around the dates to find what interests them to make sure it fits into their schedule.


·    They will be impressed that you have your act together to communicate in this way. It reinforces the other methods of promotion in a concise manner.



Yes, you can be creative and use a posted calendar internally as well ... posting due dates, group meetings, and people's birthdays! Just seeing items up on a calendar can make people feel included, respected, and involved.

Leadership

"Become" instead of "Do"



A light bulb turned on for me when I heard a new concept of a better way to change behavior to achieve your goals. This idea I'm going to share with you may help you personally, as well as be a useful concept when leading others.



Here's the idea:



Become the person you want to be vs.

doing things to achieve what you want.



We all believe in personal development, right? We often want to change a habit of doing something (or not doing something) that will help us get what we want. (Maybe it's to be in better shape, run programs at work more effectively, or procrastinate less.)



The trick (according to The Compound Effect by Darren Hardy) is to stop changing what you're doing (eat fewer calories, outline content for programs, stop putting things off) and put in your mind that you have become the person you want to be. (For example, a conscious eater, an efficient producer of programs, a "get right to it" kind of person.)



Absolutely, you need to identify the goal you want to achieve. Articulate it. Define it. Describe it. Then become that person.



Imagine using this technique with some of your team members. You may be able to achieve higher productivity and a more pleasant work environment.
