Excel/G-Sheets - Printing Problems? Use Scaling to Fix Them Quickly

Intermediate

[Print preview screen showing a document with an arrow and text pointing to columns cut off on the right side of the page]

The other day I was trying to print a list of names, addresses and other contact information in an Excel spreadsheet. I kept making the columns narrower, nudging in small increments to get all of the data to print on one page.

Then I discovered a built-in shortcut for this in BOTH Excel and Google Sheets.

It's called Scaling. This option helps fit your spreadsheet neatly onto one page or a specific number of pages instantly! No going back and forth trying to make it the way you want it, or wasting ink and paper if sent directly to the printer.

It works like this. You may have situations where your spreadsheet is too wide to print nicely so you can choose to Fit All Columns on One Page so it doesn't get cut off across multiple sheets. Or Fit All Rows on One Page... and more options.

Let's walk through using scaling in both Excel and Google Sheets.

EXCEL – How to Use Scaling

Using this feature helps fit your spreadsheet neatly onto one page or a specific number of pages.

Option 1: Using the Print Menu

[Screenshot of the Print menu in Microsoft Word with Print and No Scaling options highlighted by a box and an arrow respectively]
· First, go to File, then Print.
· In the print preview pane, find the Scaling dropdown (towards the bottom).
· Click the dropdown and choose one of the following:

· No Scaling – Prints the sheet as-is. This is the default setting.

· Fit Sheet on One Page – Shrinks everything to fit on one page.

· Fit All Columns on One Page – Keeps all columns on one page (rows may continue on other pages).

· Fit All Rows on One Page – All rows will stay on one page (columns may continue).

· Custom Scaling Options – Lets you manually set how many pages wide or tall.

CAUTION: Be sure to Preview before printing as some of these options may make the text too small to read when printed.

Option 2: Page Layout Tab

· Click the Page Layout tab.
· In the Scale to Fit section, you can adjust:

· Width - How many pages wide.

· Height - How many pages tall.

· Scale - Percentage to manually shrink/enlarge content.

Now Excel will scale the print area accordingly.

Use Scaling in Google Sheets

You can also use scaling when printing in Google Sheets, however, it is more limited than Excel, but still gives you control over how your sheet fits on the page.

[Print settings menu showing options for paper size orientation and scale with Fit to width selected under scale]
· In your Google Sheet, go to File, then Print.
· In the Print Settings window (on the right side), under the Scale section, choose one of the following options:

· Normal (100%) – No scaling.

· Fit to Width – Shrinks the sheet to fit the page horizontally.

· Fit to Height – Shrinks it to fit vertically on one page.

· Fit to Page – Fits both width and height to one page.

· Custom number of pages – Lets you choose how many pages wide and tall.
· In this print window, you can make additional changes to adjust the margins, page orientation, etc. as needed.
· Click Next, then Print.

Communications: Engage

5 Effective Ways to Greet People

Having recently moved to a new city, one of the first things I did was sign up for a library card. It was great to see a friendly face cheerfully explain the benefits of my new account.

Then two weeks later, this excellent customer service continued. I walked into the building and was immediately greeted with a beautiful smile, eyes connecting with mine, and a friendly welcome. This made me think about all the ways you can effectively greet people.

Here are five things you can do to ensure you’re offering top-notch customer service.

#1: A Warm Welcome

Start by greeting customers with a warm and genuine smile. Make eye contact and use a friendly tone of voice. A simple, “Welcome! We’re delighted to have you here today,” can set a positive tone for the entire interaction.

#2: Personalized Greetings

Whenever possible, try to personalize your greetings. If you know the patron’s name or have any information about their preferences, use it to make the greeting more personal. For example, “Welcome back, [Name]! How was your last visit?”

#3: Express Genuine Interest

Show genuine interest in the patrons by asking open-ended questions about their day or their experience. For example, “How has your day been so far?” or “Is there anything specific you’re looking for today?” This not only demonstrates friendliness but also signals a willingness to assist.

#4: Offer Assistance Proactively

Be proactive in offering assistance. Let customers know that you are there to help and answer any questions they may have. For instance, “If you need any assistance or have questions, feel free to ask. We’re here to make your experience enjoyable.”

#5: Thank Them for Their Patronage

Express gratitude for the customer choosing your establishment. A simple “Thank you for visiting us today” or “We appreciate your patronage” goes a long way in making them feel valued and welcomed.

Remember, the key to friendly customer service is authenticity. Sincerity in your greetings and a willingness to assist can significantly enhance the overall customer experience.
