Dear Business Managers, Superintendents, and Benefits Administrators:

OEBB will continue to coordinate carrier attendance at your Benefit Fairs this fall. OEBB staff will NOT be traveling to these events, (due to state budget restraints and our small staff needing to stay in the office during this busy time), but our carriers would like to attend all of your events, if possible. Attached please find a "Best Practices" tip sheet to help you plan a successful event.

To clarify expectations, a "Benefits Fair" typically means each carrier sets up a table/booth and answers member questions one-on-one. It typically does NOT include making a formal presentation. This has been a point of confusion in the past, so we have updated our request form with separate sections for each - hosting a booth and/or making a presentation. Please be sure to specifically request a formal presentation if you want one, so the carriers can properly prepare for your event.

Note: OEBB will be hosting Open Enrollment webinars and posting video presentations and handouts on our website so members can easily access all the information they need at their convenience. We will send you more information about those resources in future emails.

BENEFIT FAIRS - EVENT SCHEDULING

To request carriers attend your event, please use the online form<https://form.jotform.com/50764744000953> available on the Administrator Resources page of the OEBB website. (Under "I Want To ..." click Request Carriers Attend My Benefits Fair<https://form.jotform.com/50764744000953>.)

If you are able to schedule your event according to the regional outline below, it will help optimize travel schedules and allow them to attend as many events as possible. We understand that sometimes you won't have the flexibility to hold your event during the assigned time for you region, and we will still do our best to accommodate all requests; but we appreciate you trying to follow this suggested schedule if you are able.

  * Northeast Oregon & Northwest Oregon: Weeks of August 14-18 and August 21-25: Inter-Mountain ESD; Union-Baker ESD; Region 18 ESD; Northwest Regional ESD; Clatsop CC; Oregon Coast CC; Blue Mountain CC; Tillamook CC
  * Portland/Metro Area & Willamette Valley: Weeks of August 14-18 and August 21-25: Willamette ESD; LBL ESD; Lane ESD; Lane CC; Linn-Benton CC; Columbia Gorge ESD; Columbia Gorge CC; Clackamas ESD; Multnomah ESD; Portland CC: Clackamas CC; Mt. Hood CC
  * Central Oregon: Week of August 28 - September 1: North Central ESD; Jefferson ESD; High Desert ESD; Harney ESD; Grant ESD; Malheur ESD; Central Oregon CC; Treasure Valley CC
  * Southwest Oregon & Southeast Oregon: Week of August 28 - September 1: South Coast ESD; Douglas ESD; Southern Oregon ESD; Rogue CC; Southwestern Oregon CC; Umpqua CC; Josephine County; Lake County; Southern Oregon ESD; Klamath CC; Klamath County
If you'd like to schedule your meeting(s) for the week of the Labor Day holiday (September 5 - 8) or even the final week of Open Enrollment (September 11 - 15), we would greatly appreciate it. The last two weeks in August are typically the most popular, which makes it a challenge to accommodate everyone's requests.

Thank you for your efforts to accommodate our timeline, and for helping us educate OEBB members about their benefits. If you have questions about scheduling an event or submitting an event request, please call OEBB Member Services at 888-469-6322 or send an email to: oebb.benefits at state.or.us<mailto:oebb.benefits at state.or.us>.
