OSPS E-News ~ Savings Bond Tips

We've come up with the following tips from our last few savings bond
reconciliations.

The three tips discussed in this e-news are detailed below. The tips
are:

1. WAIT TO PROCESS NEXT MONTH'S CHANGES UNTIL AFTER THE BOND SCREEN
OPENS FOR THAT MONTH

2. NEED TO USE DECIMALS ON P080 SCREEN

3. P080 INFORMATION DOES NOT CLONE

Details follow:

1. WAIT TO PROCESS NEXT MONTH'S CHANGES UNTIL AFTER THE BOND SCREEN
OPENS FOR THAT MONTH

Processing June's bond info before May has been reconciled causes bond
reconciliation errors.

Example: Jane wants to change her withholding from $250 to
$100. By processing the SVNN and/or P080 changes in June before
May is reconciled, the following happens:

(a) "AMT NOT MATCHED" exception generated
(b) OSPS calls agency to restore previous P070 entry
(c) OSPS restores P080 screen to previous entry
(d) OSPS contacts agency to change P080 and P070 again when screen
opens to reflect June entries.

So in effect, you have to process the same paperwork twice, plus OSPS
has to hand-process the bond side of things as well.

You will know the next month is ready to be processed by the
notification we place on PMSG to let you know the bond screen is open.
We strive to get the reconciliation complete within ten days of Run 2
closing. Fewer exceptions speed up that process for everyone. Thanks
for your efforts.

2. NEED TO USE DECIMALS ON P080 SCREEN

If your employee's deduction is $100.00, and you put only "100" in the
amount field on P080, the amount gets captured as "1.00". Not $100.00.

Please use decimal points on the P080 screen.

3. P080 INFORMATION DOES NOT CLONE

Contact the losing agency for a screen-print of the employee's P080
screen when you notice an SVNN deduction during the clone procedure.

Without the corresponding P080 information, this data gets exceptioned
out and requires forced entries.
