The class will be Wednesday, October 17 from 9:00 am to 4:00 pm in the TC3 Conference Room, Executive Building, 3rd Floor, 155 Cottage St. NE, Salem. This will be an informal, seminar-style class. The on-line class Reading the OSPA Payroll Register is a required pre-requisite. The class takes about an hour to complete. For example, management service employees may accrue up to 350 vacation hours, but SEIU represented employees may accrue up to 325 vacation hours. We encourage agencies to permit these employees to use their excess vacation hours prior to their change of class or REPR codes. However, in the event an employee is unable to use their excess vacation, agencies should place all vacation hours that are above the employee's new vacation balance maximum into the employee's Personal Business Leave account. The following actions were processed by HR Systems in PPDB for unrepresented employees last week. Some of these actions resulted in a retroactive change back to the July 2012 pay period which may result in an employee receiving multiple pay statements for the November 1st pay date. Actions completed in PPDB prior to October Payroll Cutoff Run1: ? Compensation plans were updated for classified unrepresented classifications adding a new top step and eliminating the bottom step; ? Employees who were on Step 1 of the former compensation plan were moved to Step 1 (old Step 2) of the updated compensation plan, retroactive to 07/01/12; ? Salary Eligibility Dates (SED) were adjusted for employees who were at MAX prior to the adding of the new top step. If the employee's adjusted SED fell between 07/01/12 through 10/31/12 the initial half step increase was processed and a second ? step will be applied six months later. ? Step numbers were updated on the employee's record to correctly align with the changes on the compensation plan (example: if employee was at old Step 4 record was updated to show Step 3). Attached is a sample letter you may modify for your use to provide to employees to explain the changes. HR Systems will send lists of employees affected by the change to agencies.
