US Bank did report that their online portal is currently not reflecting the deposit made to cards this morning. US Bank expects the online portal reporting issue will be resolved within the next 60 minutes. PTB, PTD, PTW & PPRM screens are now being accessed by the PUSC screen. OSPS transferred security for everyone currently using these screens under the prior security screen (PTAU) to the PUSC. We are one step closer to having screen by screen security, similar to SFMA. 2) NEW Report coming on April Run 2. PEBB Commuter Report (XREF78) will show employees who exceed the federal monthly limits for the following: a. For parking the monthly limit is $250. The report will display anyone with a pretax parking code (FKNN) and another parking code (PKNN, PYNN, etc...) that together exceeds that limit b. For transportation the monthly limit is $130. What this means is that in April 2018, the product will no longer be supported. Upgrades to operating systems either at the server or desk top level could render the tool inoperable once it's not supported. With this news, DAS has decided to be proactive and start looking for a replacement product that will suite Datamart users' needs statewide. Because the state will have to purchase an entirely new product, the Datamart unit is starting an RFI (Request for Information) to find out what products are available as a suitable replacement. This process will take some time and we ask for your patience. Please remember that we are constantly working hard to satisfy all Datamart users. I understand that a lot of agencies have many business critical processes in place that rely on the IR Studio product. However, as long time users of the application, you will not have to change your current processes until we move to the new product. You will be able to continue to use the application throughout the time of transition. DAS is continuing to keep the Enterprise license in place and be in good standing with the maintenance agreement. We want all Datamart users to be involved in the process of making the new product a great success. This is why we are setting up a Datamart User Group meeting on June 17 in the Employment Auditorium from 1:30pm - 3:30pm. We would like users to think of potential improvements that would help the new product going forward. To clarify, these improvements should be items that are not available in the current product. In addition, please bring any other questions and/or comments to the meeting, so that we can keep everyone informed. Setting Labor Cost Crosswalks for 15-17 For agencies who track their payroll labor costs for the 15-17 Biennium and/or the 15-16 Fiscal Year, *OSPS would be happy to gather the information for those labor cost changes to be entered for you in PPDB. To do so, we must have your list of changes by Monday June 22, 2015. Changes will be uploaded to the personnel system (PPDB), based on the supplied list, via mass update which will in turn interface into OSPA. Changes will be effective in both systems July 1, 2015, for the July payroll period with a pay date of 7/31/15. *The mass update in PPDB will create PA log counts which each agency will be billed for by DAS EHRS. Formatting Your Request Please use the following format for your requested changes. Please do not insert spaces or hyphens between numbers. All numbers should be in 'Text Format.' 12 digit cost structure consists of 2-digit Appropriation Year(Y), 5 digit PCA (P) and 5-digit Index (I) Old 12 digit cost structure a New 12 digit cost structure Example: YYPPPPPIIIII a YYPPPPPIIIII We are also accepting "blanket changes" to process the biennial indicator: Example: 15XXXXXXXXXX a 17XXXXXXXXXX If your request is simply to change the biennial indicator from 15 to 17 on all employee and position records, you may make that request in an email. If you have a number of cost structure changes to be made, our preference is to have them in a spreadsheet attached to your email. If updates to the employee record are different than the position record then a separate list will need to be submitted for both. In either case, please include your agency name and number, contact name and phone number and send this information to seth.lewis at oregon.gov. Default Process OSPS will send a reminder on or about June 18 about the deadline for submitting crosswalks for 15-17. If we have not received information or instructions from your agency by the deadline June 22, 2015, we will set up a default crosswalk to change the biennial indicator from 15 to 17 on all payroll labor cost numbers for both the employee and position records in PPDB. Please double check your list! The mass change process into PPDB does not go through any edits and will upload numbers from your list even if they are invalid. STS & STH which will fall under the ST leave accrual code. These should be used for FLSA exempt employees who either work on a holiday or the holiday falls on the employees scheduled day off. These new pay codes are similar to the CTS and CTH pay codes that are used for FLSA non-exempt employees (overtime eligible). STS - Holiday Straight Time Accrual. STS would be used when a holiday falls on a FLSA exempt employee's day off. For instance, if an employee's work schedule is Tuesday thru Saturday then the Monday Memorial Day will show as 8 STS. (If the employee was FLSA non-exempt then the pay code would be CTS.) STS accrues at one to one. STH - Holiday Time & ? Accrual. STH would be used when an FLSA exempt employee works on a holiday. The holiday would still be recorded with 8 HO but the actual hours worked would be coded to STH. STH accrues at one and one-half (1.5) hour to every one hour worked. These codes were added to help manage accrued time for FLSA exempt employees. Past practice for holiday time has been to use compensatory time (CT*) for both FLSA exempt and non-exempt employees. CT carries as a financial liability for the agency until used or paid in full per FLSA. The ST* code for FLSA exempt employees is accrued leave that must be used within the fiscal year earned or will be lost.
