This change has not been adopted by EVERY contract. Listed below are the vacation payout codes and their proper use. There are three codes that may be used when paying out accrued vacation. Each have limits regarding the number of hours that can be paid out and each should be used in specific order depending on the number of hours being paid out. * VAP VAC PAYOFF Payoff of accrued vacation time upon termination or per specific contract language. Paid at the equivalent hourly rate. 250 maximum payoff hours allowed. Use VAP prior to using VAQ or VAL. * VAQ VA PAY ADD'L Used in conjunction with VAP to pay vacation hours above 250 when allowed per CBA or agency policy for Lottery, Judicial, Legislative Branch, Firefighter, and AEE benefit packages. 100 maximum payoff hours allowed. Use VAQ prior to VAL, but after VAP. * VAL VA PAY EXTRA Payoff of accrued vacation time for firefighters at termination or per specific contract language. Paid at the equivalent hourly rate. 274 maximum payoff hours allowed. Use VAP and VAQ prior to using VAL. One important note. DO NOT use pay type code VAM to pay out accrued vacation leave. VAM is a specific code used when an employee chooses to donate leave to the Military Donated Leave Program. It is entered with a corresponding P070 MMNN deduction for zero tax and income affect. Payouts using VAM do not have income tax withheld and will result in a net pay negative for the employee when the error is corrected. Not all holiday codes include that Friday as a holiday on the table. If your agency's applicable CBA or policy does not include the day after Thanksgiving as a holiday, please have your Human Resource unit verify that your employee records have the correct Holiday code on PPDB. One item to note with two holidays back to back is how employees with atypical work schedules (four Tens, or four Nines and a Four, for example) will forecast. The holiday hours start on the holiday date and will forecast backwards until all eight hours (8 HO) are used within the employees work schedule. This is the way the system has always forecasted for non-standard work scheduled. Here are a few examples for the week of November 23rd, where November 26th is Thanksgiving and November 27th is a Holiday. When a holiday falls on a regularly scheduled day off (i.e. 4/10 schedule with Fridays as the day off), the payroll system will default the HO coding to STS. A full time employee would accrue 8 hours of ST leave. Employees may use the accrued ST time on another day. If allowed by your CBA or agency policy, employees who wish to be paid for the 8 hours of time in lieu of accruing the ST time off, the pay/leave code for the day should be changed to HST. HST will pay the employee 8 hours of straight time pay for the holiday falling on their regularly scheduled day off.
