[Announcements from OSPS to the users of the Oregon State Payroll Application]

Payroll Professionals,

OSPS will be sending emails with spreadsheets beginning Sept 28, 2021 to Payroll Management/Leads regarding the p370 Review and Reporting.

The information on this report indicates that a change has been made since the indicated month closed, or since the last corrective was set, and needs to be reviewed and researched to make sure the change wasn't in error, or it wasn't already handled in a different pay period and method. There may be things on this report that have since been handled from when it was pulled and nothing needs to happen for that employee.
We are not expecting a response when this is reviewed and finished. This is to be treated like a payroll run report and only send correspondence if you have questions.
All of the information below will also be found in the Workbook being sent to your agency.
Here's some information as to what it will look like:
On the workbook sent to your agency, there will be a "Start Here" tab that reiterates all of the information below, and each pay period will have its own respective tab:



Here's an example of what the spreadsheet will look like, you will see which pay period the table you're looking at is for and when the information was pulled so you can determine if payroll has run since then and cleared the data if you don't see it when you do your review.

The four columns monetary value indicates where the data was found. "Owed Net Pay" is (A), "Owed ACH" is (B) in the screen shot below: "Negative Net" is (C), and "Negative Gross" is (D) in the two screenshot examples below.

What do the notes in the "Notes" column mean?
Comments made in the "Notes" column. A quick spot-check determined what may have caused the change, but that in no way is 100% accurate without Payroll's full review of what caused the change to appear on the system.
Here are some generic definitions as to what they may mean:
o       "Hours added/changed/removed" - there was time adjusted on the employees timesheet, something backed out and another amount added or removed. Also, could indicate there was a change in the employee's schedule.
o       "Wage Change" - looks like there was a change to their salary/rate of pay after the month closed. Workday/p030 would need to be consulted to determine when it happened.
o       "Deduction Change" - it appears that a deduction on the p070 was added or changed for that pay period. This could be a change in insurance or other benefits. This could also be a PANN entry that was added or removed, or a Eugene city Tax entry that was done to refund the Eugene taxes.
o       "Withholding Change" - it appears that something about the employee's withholding changed. Either it could have been a change to taxable income, or something on the p010 screen.
o       "P050 Change" - It appears that either a P050 code was added, removed, or updated.
o       "Retirement Change" - a P060 entry may have been made for that pay period that is resulting in a change of pay, a P010 change, or a P060 CPERS correction that was made but not processed.
