From katie.anderson at state.or.us Thu Jan 2 08:36:27 2014 From: katie.anderson at state.or.us (Katie Anderson) Date: Thu, 2 Jan 2014 16:36:27 +0000 Subject: [R2R-OR] Ready to Read Grant reminder about amount actually received Message-ID: <640435851FD7CB4AB3C4BE0D1963BA244285F234@OSLEXCHANGE.osl.state.or.us.local> Hi! Several of you asked why there is a difference between the amount of Ready to Read grant funds you applied for and the amount of money you actually received and asked if you have to update and resubmit your applications as a result. These are important questions I thought you all may want to know the answer to. The grant amount usually changes between the application and the checks being cut. Typically it is because a library catches a mistake in their population calculation which I correct or libraries appeal denied applications which the State Library Board approves. Both happened this year. In the letter you receive in July I ask library directors to double-check their square miles and population and contact me if it is incorrect so it can be corrected. It is really important that you do this because the calculations are very complex and it is helpful to have more eyes double-checking the numbers. In the letter you receive in October the appeals process and potential discrepancy between the amount you applied for and actually receive is briefly explained. This is also important to know about in case you ever need to appeal your Ready to Read Grant. Since this is part of the grant administration process, you do not need to update your application and resubmit it. Please let me know if you have any more questions. I just wanted to let you know I've completed the outcome based evaluation (OBE) coaching. I will provide all of you with the coaching documents with the 2014-2015 Ready to Read Grant application materials. If you didn't hear from me, then your application's OBE was done well or close enough. However if you would like to talk with me about it and get some coaching too, feel free to contact me. If you did hear from me, thank you for taking advantage of the coaching and for taking the time to update your application. You should be much better prepared for the 2014-2015 Ready to Read grant application coming in July 2014! As promised, no grants will be denied this year based on OBE. However, we want to take this opportunity to start getting everyone up to speed so you all will be successful when OBE is required-possibly for the 2015-2016 grant cycle. We have identified 30 libraries that need OBE coaching. Next week I will email guidance to those libraries in groups based on the type of coaching they need. In December I will follow-up with individual assistance via the phone (or email if a library prefers). I will not be contacting libraries that seemed to get OBE or those that seemed close to getting it because you will have at least one more grant cycle to practice before it really counts. Next year the R2R application will not change and I will provide all of you with the guidance I'm providing the libraries that need coaching. In addition, the State Library hopes to launch our OBE webpage before the end of this year so you'll be able to access free OBE professional development before you have to apply for R2R again. Please don't hesitate to contact me if you have any questions, concerns, or ideas. I'm specifically looking for a photo that the kids in the picture signed a photo release to include in the R2R Annual Report that gets published-it will be online and archived like all state reports. If any of you have a great photo of an R2R funded activity in which the kids signed release forms, please send it to me by Thursday.
