Important End of the year Reminders:

I. End of the year Mailings:

Be sure you have provided your current mailing address and contact information, especially if your company merged, reorganized, stopped Oregon payroll, or relocated anytime in 2012.

Incorrect mailing and contact information can make it difficult if not impossible to provide you with your most current tax information, tax rates, and updates.
(For example, Employment Tax Rate notices are due to go out next month, and the initial mailing
of your 2013 payment coupons (form OTC's) go out by mid December)

A. To correct contact information (address and telephone number), simply complete the
"Business Contact Change" form at:

B. If your company has merged, reorganized, or you no longer have Oregon payroll, complete the
"Business Change in Status" form at:
(http://www.oregon.gov/dor/forms/business/business_change_in_status_150-211-156.pdf) and
return as soon as possible.
C. If you need to update the person(s) authorized to receive your tax information, whether your changed payroll services, bookkeepers, or any other payroll service providers, be sure that you have also
submitted a new "Tax Information Authorization/Power of Attorney for Representation "located at http://www.oregon.gov/dor/forms/personal/800-005.pdf


II. IMPORTANT:  iWire Requirements for Tax Year 2012:

A. W2 Electronic Reporting:
Remember, ALL employers are now required to submit their W2 information electronically,
whether you issue just one or 101 W2's.

Employers can submit this information one of two ways:

1. Create and upload a .txt file to the iWire System using the federal specifications provided by the
Social Security Administration and adding Oregon specific information from the W2 addendum
located on our website at  http://www.oregon.gov/dor/BUS/docs/iwire_specs.pdf  or:
2. Manually input your W2 information using the "Direct File"  option located at
http://www.oregon.gov/dor/BUS/Pages/iwire-income-wage-information-return-eservices.aspx <http://www.oregon.gov/dor/BUS/Pages/iwire-income-wage-information-return-eservices.aspx%20%0d>


B. 1099 Electronic Reporting:


Effective with tax year 2012 (due 03/31/2013) all third party payers or businesses issuing 100 or more of
one type of the following:  1099Gs', 1099MISC, 1099R's or W2G's, are now required to submit
this information electronically using the iWire system.

***NOTE:  If you do not meet this threshold for tax year 2012, please do not mail in your 1099's. You are not required to do so.

You can also submit these one of two ways:
1. Create and upload a .txt file to the iWire System using federal specifications provided in the IRS
"Publication 1220" and adding Oregon specific information from the "1220 addendum"
located on our website at  http://www.oregon.gov/dor/BUS/docs/publication-1220-oregon.pdf or:
2. Manually input your 1099 information using the "Direct File" option located at
http://www.oregon.gov/dor/BUS/Pages/iwire-income-wage-information-return-eservices.aspx <http://www.oregon.gov/dor/BUS/Pages/iwire-income-wage-information-return-eservices.aspx%20%0d>
Important:
***All W2 and 1099 electronic submissions are due March 31, 2013.
***You are also required to submit the "Withholding Annual Reconciliation Report" (Form WR) by March 31st,  even though you previously submitted your W2's and/or 1099's electronically through iWire.

Be sure to carefully review the iWire information located on our website at
http://www.oregon.gov/dor/BUS/Pages/iwire-income-wage-information-return-eservices.aspx including the "Commonly Asked Questions" and "Troubleshooting Tips" before attempting to electronically submit your W2/1099 information.

A. Governors Market Place 2012 Road Show continues:

3. Newport Small Business Development Center:   Oct 25, 9:00am-3:00pm
These free events provide valuable information, resources and tools to assist emerging
