The Oregon Health Authority (OHA), Public Health Division (PHD), Health Promotion and Chronic Disease Prevention (HPCDP) Section<https://www.oregon.gov/oha/PH/DiseasesConditions/ChronicDisease/Pages/Program-Information.aspx> in Portland, OR is recruiting for two Administrative Specialists to support the mission of HPCDP to advance policies, environments and systems that promote health and prevent and manage chronic diseases for the people of Oregon. HPCDP focuses on best practices for promoting and supporting optimal health for all Oregonians. The section's strategic plan tackles chronic disease prevention with a comprehensive, community-wide approach to help people eat better, move more, live tobacco free, and take care of themselves. This means achieving better health, better care, and lower health care costs for all Oregonians.

What you will do?
As the Administrative Specialist, you will establish and maintain administrative, project and database support necessary to carry out the requirements for Health Promotion and Chronic Disease Prevention (HPCDP) Section programs. You will provide operations support by developing written administrative procedures and processes, including final edits and drafts.  You will maintain procedures and controls necessary to carry out unit activities such as new employee orientation, grant submissions, equipment and technology management, and purchasing.

In addition, you will assess section needs and prepare recommendations for legislative tracking as well as implement training recommendations and standard operating procedures to implement legislative tracking activities. You will compose memos, presentations, reports, tables, charts, and graphs utilizing Word and Excel. This position also develops, updates and maintains websites supporting the section.

What are we looking for?
Requested Skills

  *   Two years administrative specialist or executive support specialist experience that included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience.
  *   Extensive experience providing administrative support to multiple managers by coordinating program/project operations
  *   Excellent customer service skills to support internal staff as well as external partners or stakeholders with professionalism and proper etiquette
  *   Experience working with grant documentation, submission and timelines
  *   Experience coordinating meetings, trainings, conferences and other program related events
  *   Experience arranging travel and accommodations for staff and management
  *   Experience performing accurate data entry for invoice tracking, record keeping and legislative documentation
  *   Advanced proficiency in MS Word to create professional correspondence, minutes, memos, agendas, reports, and other required documents
  *   Proficient in Excel, Outlook, and database development and maintenance
  *   Knowledge of web page design to build, edit and update HPCDP web pages
  *   Experience providing computer user support to other staff members as needed
  *   Keyboarding skills 60 WPM or higher is preferred
  *   Experience promoting a culturally responsive and diverse work environment
