We want to thank all of you who were able to attend the training last week
at the Employment auditorium. The turnout was great and your questions and
comments were valuable and helpful. Below are a couple of follow-up issues.
1. During the meeting, I mentioned that we had the training PowerPoint
presentation available on the DAS-SCD website. For your convenience, it is
located at: http://egov.oregon.gov/DAS/SCD/docs/Travel_Card_OR2004.ppt
<http://egov.oregon.gov/DAS/SCD/docs/Travel_Card_OR2004.ppt>
2. I also have the "answers" to the handouts for anyone wanting them. I know
the pace was quick at times and some of you may have missed some of the
information during the training. Please E-mail me if you would like me to
send you a copy.
3. Because the turnout was a bit higher than we anticipated (80 - and that's
great), we were a few short on training packets. My apologies. If you did
not receive a packet but would like one, please send me the following
information:
Name:
Agency Number:
Agency Name:
Address:
US Bank Company Number (5 digit) or Agent Number (4 digit):
Phone Number:
I will try to send the material to you as soon as possible.
4. It was mentioned the US Bank Corporate Card Agreement was not on the web
site. We've checked and updated the link for the form. It is located at:
http://egov.oregon.gov/DAS/SCD/SARS/policies/oam/75.40.04.FO.pdf
<http://egov.oregon.gov/DAS/SCD/SARS/policies/oam/75.40.04.FO.pdf> and
listed on the DAS travel website as well as in the OAM (in the FORMS
section).
5. A reminder for all of you who go in to Access Online: Please check and
update the Contact Information in the "My Personal Information" section.
Please enter your e-mail address if it is not listed, as this is one way of
communicating with you.
6. For those of you who did not attend the training, Access Online is the
reporting system that is replacing C.A.R.E. The availability of C.A.R.E will
discontinue as of April 30, 2004. Please take the initiative to transition
over to using Access Online within the next 30 days. For those of you who do
not know your 5-digit company number, please call me (503-373-7277 x284) and
I will help you identify the account. CTS account coordinators can look at a
copy of a statement and find the Name and 16-digit account number and these
two pieces of information will help me identify the account for you.
7. In looking at the sign-in list, it appears there have been several
changes in coordinators that we were not aware of. I've added many of you to
this Travel-Card e-mail list who signed in but were not listed. I'll be
contacting some of you for more information. If you do not need to be on the
list, feel free to unsubscribe yourself.
A reminder: When the responsibility for these accounts changes from one
person to another, it is important to notify me (Robin.Barnes at state.or.us)
so I can update our records as well as the Travel-Card e-mail list-serve.
FYI, when there is a change in coordinators, the Access Online User ID will
not change, but we can reset the password for the new coordinator.
8. Access Online is also now available for your individual cardholders.
Please take responsibility to notify them as soon as possible. By using
Access Online, your cardholders will have another tool to help them manage
and pay their statements quicker as well as dispute any charges on-line. A
form letter is available on the DAS - SCD website that can be used to make
this notification. It is located at:
http://egov.oregon.gov/DAS/SCD/docs/AccessOnline_Self-Registration_Letter.do
c
<http://egov.oregon.gov/DAS/SCD/docs/AccessOnline_Self-Registration_Letter.d
oc>
You can create a list of your cardholders by going to Access Online and
running the Account List Report and save it as an Excel file with all the
names and addresses. You can download the form letter, add merge fields,
change your agency/division information, then merge the names & addresses to
create individual letters. You can also use this letter in an e-mail to the
individuals if you choose. Please feel free to customize the agency name
information and formatting as needed.
If you have any questions regarding any of the above, please feel free to
e-mail or call me. My contact information is at the bottom of this memo.
