[DAS_Centralized_PERS_Services_Team] Workday transactions & PERS **Important Information**

HR & Payroll Partners,

Now that Workday has been in place for just over nine months, I want to be sure agency HR & payroll staff understand how hires, transfers, terminations, address changes and name changes are (or in some cases are not) successfully communicated to PERS.

The DAS Centralized PERS (CPERS) Team runs a monthly file to retrieve these transactions out of Workday. This information is compiled into a report and sent to PERS after payroll run 2 each month. Here is a visual of that process using November pay period as an example:

Some of the challenges we are experiencing with transactions are:

*       In order for the file to pick up the action, the correct business process must be used.

*       In order for the file to pick up the action, it must have been entered and all steps completed in the current month. If you are completing an action with a past month or future month effective date PERS will not receive it and you will need to contact your CPERS analyst to notify them of the action.

*       If you are correcting a SSN or date of birth in Workday, please contact your CPERS Analyst. These corrections are complex and require manual intervention by CPERS.
