Creating a letter of complaint? Use the formula!
Have you ever had a problem where you needed to write a letter of complaint to get it resolved? If so, there is a proven formula you may wish to follow.
There are three parts: 1) Recognition of the person's ability and willingness to help, 2) List of facts, and 3) What you want to happen..
1. Recipient Recognition. Make it clear to the reader that you are addressing the letter to him (or her) because you believe he is in a position to help and is willing to do so.
Example: "I believe you are willing to help and able to resolve this issue."
2. The Facts. List the facts ... crisply and in chronological order. Present them objectively without emotion. Use bullets and white space to make it easy to read.
Example:
- Purchased lamp on January 7th from Home Depot
- Replaced six bulbs within the first month
3. What YOU Want. Tell the reader what you want to happen. Don't expect them to know or to choose what you prefer. If you make it easy for them to say yes, you have a better chance of a positive resolution.
Example: "Please credit my account for $19.56"
