WORD – Where Did the Vertical Ruler Go?

I was working in a Word document, trying to adjust the margins so that all of the content would fit on one page. All of a sudden, something looked strange. The first line of text was bumped up to the very top. There was no white space above it. The margin indicators at the top and bottom in the ruler on the left were no longer there so I couldn't drag them up or down to allow more text on one sheet.

Normally, I would move to the left of the screen to adjust the top margin in the ruler -- it was gone!

I searched and searched for a solution. I checked in the View tab to make sure that the Ruler was turned on (it was).

Further searching finally revealed the answer. It was surprising… not something I would have thought. I must have inadvertently turned OFF the "White Space between pages" feature.

So... I went to File, Options, Display – and checked the box in front of White Space between pages. Then, voila…. the ruler appeared on the left with the margin showing so that I could make adjustments and the text on the page was now showing normally.

I found that if you hide white space, you won't be able to see headers, footers or top and bottom margins in the Print Layout View. The gray space that typically appears at the top and bottom of pages as you scroll through your document will also disappear.

You see... Microsoft Word allows you to "hide" the margin at the top and bottom of a page so that you can view more of the page on your screen without changing the zoom level. But if you don't know how it works, it can really be a pain!



Show / Hide White Space

Let's review how the "View White Space" option works.

Typically, when working in Word, you use the Print layout. This view allows for the ability to create and edit your document for printing and sharing. It gives an accurate view of what your document will look like when you print it (eg. line breaks, page breaks, header, footer). When you use the Hide White Space feature, it essentially makes the white margin space at the TOP and BOTTOM of a page disappear from view.

How can you turn the White Space ON or OFF?

In one easy step you can change the white space feature from ON to OFF. The easy way is to simply move your mouse up to the top margin of the document until a double arrow appears. A window may pop up that says Double-click to hide white space. As it states, just double-click your mouse to Hide the top and bottom margins.

When your document is completed, you may want to double-click again at the top of the document to turn the white space back ON. It's as easy as that!

Or, you can find this in Word Options. Go to File, then Options. In the Display window under Page display options, check the Show white space between pages in Print Layout view.

TIP: Even if you prefer to work with the white space turned off (not showing), it is common courtesy when sharing documents with others to save your document with the white space turned ON. The document recipient might not know how to make the changes themselves!

Creative use of words to increase understanding

Do you know the difference between metaphors, analogies and similes? I didn't!

And when I looked up the differences, I found that they are relatively minor. Basically these are each a communications technique that compares one thing to another so that the listener (or reader) gets the message.

·     Internet is the information superhighway.
·     Worldwide web is like a giant shopping center.
·     The computer's processor is like the human brain.
·     Data is the new oil.
·     "Technology is like a steamroller: you can either drive or become part of the road." (The Shodor Education Foundation, Inc.)

The use of metaphors, analogies and similes is a way to make complicated concepts seem understandable. They turn on light bulbs in our heads. They make unknown ideas seem more relevant. They make it easier for us to remember the point!

Look for ways to bring metaphors and analogies into your presentations so that they will be more effective and memorable.

Leadership: Build Trust
Be respectful of others' ideas and opinions.

What would you think if someone said that "trust" is one of the basic tenets for effective communication?

Would you agree?

When we create an environment of open communications, people are allowed to express their ideas freely -- without fear. It promotes dialogue. It gives a voice to differing opinions.

And it requires trust. It requires that we be respectful of others' ideas and opinions.

·     Trust that others will listen ... and you show by example.

·     Trust that people will respect a variety of ideas that may not match their own ... and do so yourself.

·     Trust that there will be no negative repercussions ... and make sure that's true in the world you control.

When we respect and trust each other, leadership communication is much more productive.
