PPT – Keep Your "Designer" Layout; Swap Out the Picture

Intermediate

I was creating a PowerPoint using the cool "Designer" feature that gives a slide an instant makeover. I got frustrated because I wanted to change an image on a slide to a new one, but I lost the special formatting (cropped to a circle) when I added it.

At first, I added this pretty picture of tulips to the slide and chose a layout idea using Designer:

[add image]

Then I found a picture I liked better, but when adding it, the circle effect disappeared.

[new image]

Well.. after a bit of searching, I discovered the secret to replacing an image without losing the formatting.

The PowerPoint 365 Designer

Let's step back a minute because if you haven't used this powerful feature to create cool slides in PowerPoint, we'll give you a quick overview. TIP: You can see a full Tech-Talk article and video on this process here.<https://gcc02.safelinks.protection.outlook.com/?url=https%3A%2F%2Fr20.rs6.net%2Ftn.jsp%3Ff%3D0013k0ZpLXej9kC-BrD_tDcZiFHeZ7f_c7420DcolK4-pAKoFsOxKEt_lloqgHUDSJYGj8tYqLSTyuz2MT9EFUYeN9J84oquYiOFOP1VXEUFIkUbJM9SNQSvNiUilB40LoyWeqyyNUtR8mU-m-vPqriIZ2sQPsNQnl867_dGoUWIWP4q1ype3anF3erW9UDaQUsN3fwjOd2zsY%3D%26c%3DObU3ke-1o5xmwGOXXcmamqEVNWY8DXcmaBkuZCKWrOflkzzfGoxXtA%3D%3D%26ch%3D5MLlQ7XnXug21ziNXqedO8JOB6zBVjCA9Uf9Mg6rDN_hxME7RcFrDg%3D%3D&data=05%7C01%7CDarci.HANNING%40slo.oregon.gov%7Ca6e19d1087904e5fc5b808db24c7f58a%7Caa3f6932fa7c47b4a0cea598cad161cf%7C0%7C0%7C638144213458892179%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C3000%7C%7C%7C&sdata=GUO9Fk2P%2B1eXd6UeeiyN4h0IfElKbzaSBFqivRHqqmo%3D&reserved=0>

In PowerPoint 365, they've added an option called Designer. It's a helpful way to take a simple slide with text and an image (or two) and give it more of a graphic flair.

If you have this feature turned ON, when you add an image (up to five of them) to a slide, the Designer tool detects this. A new pane opens to the right of the screen giving you formatting ideas. Just click on one to use it in your slide. Again, see the full article in the Tech-Talk database for more details on how to use Designer.

Adding and Changing Images Using Designer

This brings us back to our tip, or secret, to how you can swap out an image in a Designer layout and still keep the shape of the image intact.

So… instead of deleting an image and adding a new one the normal way (eg. clicking on the picture you want to replace and selecting Delete… and then going to the Insert tab and selecting Pictures)...

What you want to do is:

· Right-click on top of the image you want to swap out and pick Change Picture from the drop-down options.
· Then navigate to a new image and insert it. It's that simple!

[change picture]

Your picture will be replaced, and the Designer formatting will be intact. Yay!

[add new image]

TIP: This not only works with changing an image in Designer, but with ANY picture you have added and want to replace in a PowerPoint slide or a Word Doc as well!

Communications: Talking/Writing

Use "Push Back" to Disagree Gently

There are times when we disagree with a colleague. Well, probably, lots of times, right?

So it is handy to have a few phrases that express your contradictory idea without being offensive.

There is one thing you can say that gently introduces the idea that you disagree with what has been said. It's to use the words: "push back" before going into the detail.

"Let me push back on that idea."

"Let me push back on that suggestion."

"Let me push back on that statement." (Then tell why.)

TIP: Notice that we did not say, "your idea, your suggestion, your statement". The less you make your disagreement about the person and more about the subject, the less contentious the conversation will be.

Yes, you can use this technique in your writing as well. If you find yourself in the same situation, wanting to disagree in a gentle manner in an email or letter, it's easy to type: "Let me push back on that ...".

Leadership

Get quiet people to speak up (Part 2 of 2)

Have you ever been to a meeting where some of the individuals said nothing? Probably frequently, right?

That's sad because usually, these folks have interesting and insightful ideas that are not being tapped into. They may be shy. They may not want to interrupt a lively conversation. They may think their ideas are not that important.

Here's a technique you can use to involve these reluctant participants.

If someone has finished a proposal or presentation, you can go around the group, one by one, and ask for a comment. First, however, tell them what you are going to do and let them know they can "pass" if they like. Then, call each person by name.

Example

"I'm going to ask each of you to [give us your feelings about the idea on the table]. If you don't have anything you want to say, you can pass."

NOTE: Most of the time everyone will share what is on their mind about the topic. Occasionally someone will pass. Let them know that's OK and move on. They will be more likely to speak up next time.

TIP: A variation on the theme, is to go around and ask each person for a number on a scale of 1 to 10, with 10 being [highly supportive of the proposal]. This way you'll find out exactly where everyone is on the idea being presented.
