Subject: Donated Hardship Leave Toolkit

The Human Resource Services Division in cooperation with Oregon State
Payroll Services (OSPS) and the Public Employees Benefit Board (PEBB)
conducted training on donated hardship leave in August 2010.
Subsequently, we met individually with several agencies to discuss the
intricacies of and provide clarification on donated hardship leave
administration. As a result, a toolkit link was added to State HR
Policy 60.025.01 Donated Leave. The toolkit may be found at:
http://www.oregon.gov/DAS/HR/rules.shtml

The toolkit includes the following information:

*	A poster to display in your office to get employees talking with
agency HR and Payroll shops about provisions typically used when a
person needs to take time off for their own injury or illness or that of
a family member. The poster allows agencies to insert agency specific
contact information.

*	A talking outline to guide agency HR and Payroll shops when
talking with an employee about their specific situation. The outline
allows agencies to insert agency specific contact information.

*	A flyer announcing the creation of a new payroll code to track
leave converted donated hardship leave. The new code is available for
agency use beginning January 1, 2011.

*	The August 2010 donated hardship leave training power point
presentation.

*	Links to OSPS donated hardship leave worksheet and coming soon
the new OSPS donated leave handbook.

We are working on additional materials to add to the toolkit. So please
check the toolkit on a regular basis for additional information and
resources.

If you have questions about the toolkit, please contact Rebecca Gray at
(503) 378-8301 or rebecca.gray at state.or.us.
