[Announcements from OSPS to the users of the Oregon State Payroll Application]

Payroll Professionals,

Here are some examples of the new error messages that will be on the 'E120-052A Payroll Exception Report' that is generated for both prelim and final payroll runs.  These messages are related to the SEIU and PERS PU changes.  Please note agencies who do not have SEIU employees may see these errors for employees transferring into your agency.  I've attached an up close screen shot of the P030 and where to find the Range Option code.  Hint:  start in the upper left hand corner of the screen.

The first step is to determine whether or not the employee is both a SEIU and a PERS participating member.

*         If yes, then the Range Option code should be 'P' and the P010 'RTMT STAT' should be 'E'.

*         If they are SEIU and NOT a PERS participating member then the Range Option code could be 'A' or 'E' and the P010 'RTMT STAT' field should be 'N'.

*         For non-SEIU employees then the Range Option code could be 'A' or 'E' and the P010 'RTMT STAT' field could be 'D' or 'N'.

Below are examples of the error messages you could see on your exception reports.  The first part falls under the 'Payroll Items' section and the other part is under the 'Message' section.

*         The error message above first tells you that the 'Ben Pkg' - 'XX', 'RNG' or Range Option code is - 'A', the 'RET ST' or 'RTMT STAT' ' on the P010 code is - "E", and the date is related to the P010 entry.  (In this example all of the 9's represent an ongoing date)

*         The second part informs you that a "Fatal Error" has occurred which means that without fixing the mismatch the employee is at risk of not getting paid. This error message also  informs you of the mismatch which needs to be fixed. (The 'Non SEIU Employee' error message means that the  Ben Pkg 'XX' and the Range Option code 'E' are mismatched)

*         To correct this error, the P010 'RTMT STAT' must be changed from an 'E' to a 'D'.  Management service employees have the PERS PU still paid by the employer.

*         This error message is for a SEIU temp employee; Ben Pkg 'XO'. Since the Range Option code shown above is an 'E' and the P010 'RTMT STAT' code 'D' are mismatched, a fatal error message has been generated.

*         To correct this you will need to change the Range Option code in PPDB to a 'P' and the P010 'RTMT STAT' must be changed to an 'E'.

*         This error message is for management service employees; Ben Pkg 'XX'. In this example, the Range Option code 'A' and the P010 'RTMT STAT' code 'E' are mismatched.

*         To correct this type of error, you will need to change the P010 'RTMT STAT' code to a 'D'.

*         This error differs from the prior examples because with this example we have an employee who has switched from SEIU represented to management service mid-month and within the same agency. For the month in which the transfer/transition was made the P010 'RTMT STAT' code must be switched to a 'D' in order to avoid the fatal error message.

*         This error is for a SEIU employee; Ben Pkg 'O1'. In this example, the Range Option code 'P' and the P010 'RTMT STAT' code 'D' are mismatched.

*         In order to correct this change the P010 'RTMAT STAT' code must be changed to an 'E" and since this employee is SEIU represented their PERS PU is to be paid by the employee.
