Subject: Upcoming PPDB Changes

The CHRO Systems and HRIS Project team are diligently working to best prepare for the successful conversion of our legacy PPDB platform to a much more modern, robust HRIS solution.  In preparation for the supervisor hierarchy standards required for a new solution, PPDB fields will be repurposed to capture this information.  The plan is that PPDB developers will soon make these changes to both the position (PB5D) and the employee (PBED) screens, as follows:
The REPR SVC DATE field on F2 of the PBED screen and the OLD AUTHNO field on F2 of the PB5D screen will be repurposed and relabeled "SUPV AUTH NO".  The supervisor will be captured on both the position and employee side in one of three ways (in priority order):

1.       The authorization number of the supervisor (this will always be the default and the authorization number must be active);

2.       In the case of a double-filled supervisor position, the Oregon Employee ID (EIN) of the double-fill supervisor; or

3.       In the case of a temp service worker serving as a supervisor, the Temporary Service Number (XTSW).
These PPDB changes are expected to go live in January, 2017
Although the changes are not expected to go live until January 2017, we realize there are agencies that may need to modify their current shadow systems to accommodate these changes and we are hoping this will give you some time to plan and prepare for the changes.
Once the programming changes go live, the PA form will also be modified to include the new fields.  Then, when entering the PA for certain codes, the system will either default from PB5D or prompt entry of the new data needed.  The specific codes that will prompt this are still being determined.
For the agencies that currently capture supervisor hierarchy, mass updates may be arranged.  The format that will be required for agency mass updates is currently in draft form and, once finalized, will be provided to all agencies.
