Subject: Workday Demonstrations July 13th -In Person or Live Stream via Your Computer
Happy Friday,
You should have received the below communication last week, which included a save the date for the Workday Demos on July 13th. There are two sessions, one in the morning from 9:00 AM to 11:00 AM and one in the afternoon from 2:00 PM to 4:00 PM. Participants can tune in through one of two ways:

1. In person: Seating is on a first come, first served basis. If you would like to attend in person, please pick only one of the two sessions. Please work together among your team to make sure some are present in the morning and some are in the afternoon for the opportunity to ask questions during the Q&A period. Higher attendance is anticipated in the morning session. Capacity is approximately 145 people.

2. Live streaming: Both sessions will also be streamed live. The simple instructions for setting up your computer for streaming the sessions are attached, and access details are included within the appointments. Those who live stream the demonstrations will only be able to listen to the sessions and Q&A period. Capacity is 100 people.
We are so excited to finally get to share Workday with all of you. We hope you are able to take this opportunity to see the system either in person or at your computer. We are also working on the ability to record each set of demos and Q&A periods, but that has not been confirmed possible as of yet. If you have any questions, please let us know.
Thank you!

HRIS (Workday) Project status, fit gap summary, timeline, and SAVE THE DATE

June 2017

[HRIS (Workday)]<https://www.oregon.gov/das/HR/Pages/HRIS.aspx>

Project status

The HRIS (Workday) Project is moving forward as planned.

The DAS budget bill<https://olis.leg.state.or.us/liz/2017R1/Measures/Overview/HB5002>, as outlined in the latest version of HB 5002, passed the House of Representatives on Monday, June 26, 2017 and is scheduled for the Senate floor vote on Friday, June 30.

Legislative approval is a significant milestone for the project. Nevertheless, final approval of the budget is expected once the current legislative session ends (either on or before the state constitutional sine die on Monday, July 10) and the budget bill is signed in to law by Governor Kate Brown. Execution of contracts with IBM<https://www-935.ibm.com/services/workday/> (the system implementer) and Workday<https://www.workday.com/en-us/applications/human-capital-management.html?wdid=enus_ws_hm_wdhmprodarea_hcm_wd_web_17.0087> (the software solution) are currently under way.

Fit gap analysis in a nutshell

The project team recently completed the fit gap analysis with IBM and Workday. The fit gap process confirmed Workday's ability to replace PPDB/PICS as well as Oregon state government's current recruitment system, eRecruit (provided by NEOGOV). The learning management system, iLearnOregon (provided by Meridian Global LMS), is currently in the process of an upgrade and is expected to integrate with the Workday system once it goes live.

Significant functionality currently accomplished in agency shadow systems, along with functionality not possible today, is expected in all of the following areas:
? Reporting and Data Modeling
? Classification and Compensation
? Health and Safety
? Performance Management
? Leave and Schedule Management
? Labor Relations

Workday has a history of enhancing its system functionality every six months, and as a Software as a Service (SaaS), new functionality will automatically be available to Oregon state government along with all other Workday customers.

The June 2018 Go-Live<http://www.oregon.gov/das/HR/Pages/HRIS-Schedule.aspx> countdown begins...
? Summer 2017: Planning Phase
? Summer - Fall 2017: Architect & Design Phase
? Winter 2017 / 2018: Configure & Prototype Phase
? Spring 2018: Test Phase
? Spring - Summer 2018: Deploy (Go-Live) Phase
? Summer 2018 and beyond: Post-Implementation Support Phase

SAVE THE DATE
? July 13, 2017 @ 9:00 AM - 11:00 AM: Workday demonstration session I; or
? July 13, 2017 @ 2:00 PM - 4:00 PM: Workday demonstration session II

The demos will be held in the Employment Department auditorium<http://mapq.st/2sSkmRu>. Each session will include approximately 90 minutes of demonstration and 30 minutes for Q&A.

Capacity is 145 per session on a first-come, first-served basis. Live streaming of the sessions for those unable to participate in either demo session is currently anticipated.

Stay tuned for more details!
