[Announcements from OSPS to the users of the Oregon State Payroll Application]

Payroll professionals,

December Final Run 1 - if you have employees who are separating from state service for any reason in December (not transfers) please make sure you have December P010 dates set before final run 1.  By having December P010 dates it will put the wages owed to an employee in the 2018 tax year.  This would also apply to agencies who remove paid hours before final run 1 as part of their final pay checklist to keep the system from generating pay.  Then once the checklist is complete they will request a final manual paycheck.

ACH stops on Friday December 28 at 10:15am - this is agencies final chance to stop an ACH.  If a late separation comes to your office on Friday afternoon or on December 31 it is too late to stop an ACH and the employee will get a 2019 W-2.

Check cancellation and re-writes Monday December 31 at 11:30 - this is agencies final chance to re-write a check dated for 2019 and get those wages added to the 2018 tax year.

Early check redemption - all paper checks are dated for 1/1/19, unless there are P010 dates set.  DAS OSPS recommends not releasing checks dated 1/1/19 early but if your agency has employees who receive their check early here is the form the employees should sign... https://www.oregon.gov/das/Financial/Payroll/Documents/OSPS.99.16.pdf.  Early redeemed checks guarantees two corrected W-2s.  Please communicate this out to your employees and managers.  DAS OSPS has been following up with agencies about early redeemed checks on every payroll run since July run 2.
