Payroll professionals,

The first set of correctives have been set for the attached benefit packages, excluding those that have left state service.  I sent out emails to agencies earlier this morning with a list of employees that correctives could not be set for.  If your agency did not receive an email it is because there were no employees on the list.  Correctives may not have been set for the following reasons:


*         NO 130 SEG FOUND - This means the employee is not active on the P030 screen.  Please review the P190 and set correctives for July and/or August.

*         NO ACTIVE ON OSPS - This means that there is no set for the employee for the month listed on the spreadsheet.  Please review the P190 screen to verity there is no July or Aug set for the employee.

*         CORRECTIVE EXISTS -  this means a corrective has been set for this employee for the month listed on the spreadsheet.  Please review the P190 screen and verify the corrective is still set
Setting correctives for July and/or August will produce a payment to the employee for those months on October run 1; this is true for active and inactive employees in your agency.

Payroll professionals,

The Workday support team will be entering in the COLA for the attached groups of employees.  The plan to enter the COLA for active employees is as follows:

-          On September 20-22 the Workday support team will begin updating active employee records with the COLA effective July 1, 2019.  All employees will be locked out of Workday while this update is happening.

-          On September 23, agencies (HR in Workday and payroll in OSPA) will have one day to validate the data entered into Workday and sent to OSPA.  If there are errors please compile a list and send it to Workday.help at oregon.gov<mailto:Workday.help at oregon.gov>, subject line:  COLA errors - effective July 1, 2019

-          On September 23-25 Workday will work through employees who have errored out during the update process.

OSPS will set correctives for the months of July and August based on a list provided to OSPS by the Workday support team.  We will run a job on the evening of September 23 before September prelim run 1.  OSPS will set correctives for any new records sent over to OSPA from September 23-25 too.  We will do this on September 25 before September final run 1.

For employees who have left state service after July 1, their COLA will be sent to OSPA after final run 1.  Workday will provide a list of these employees to OSPS and OSPS will send that list to each payroll office.  Payroll offices must set correctives for everyone on this list.

For run 2, here is the process for agencies:

-          OSPS will provide a list of employees that must have correctives set.

-          Payroll offices will set correctives for July and/or August as applicable

-          Payroll offices must verify and update the hourly rate on any payouts that occurred for employees.  You will need to delete the original entry and re-enter with the new hourly rate.
