Hello Payroll,

After discussions with HR, the guidance for the advanced leave is this. They need to have exhausted all of their leave balances, unless they qualify for donated leave, then they can save 40 hours of sick leave.  There needs to be a discussion with the employee on what they plan to use (how much and what kind) since they can take up to 80 and it can be a combination of sick leave and vacation (which can accrue at different rates). Once you have this information, on the P435, you will record a positive amount in the Hours Leave column and a corresponding negative amount in the Remain Adv column.

When LARS runs, the automatic accrual will pay off 100% of the vacation or sick leave (the full auto accrual will be applied against the negative Remain Adv) back up to zero , a manual entry will need to be done to give them back 50% of what ever leave was used.  You will need to make an extra P435 entry to record a positive amount in the Hours Leave column and a corresponding negative amount in the Remain Adv column for half of their automatic accrual.

Please use some way to track who has been given advanced leave, as OSPA will not be able to do this for you, and manual entries will need to be done for these employees, each month, until leave balances have reached zero.

Workday is working on a formal requesting process for these in the near future.
