I was in a library branch the other day and walked by a room where they were having a used book sale. The Friends of the Library were hosting it. Unfortunately, nobody was there but the volunteers! I hadn't come to the library for that purpose, so I walked on by. Maybe if I had known before, I would have explored their offerings.



It made me sad. It also made me wonder how much communication had been shared about the event. It couldn't have been much because I hadn't received an email or a newsletter telling me of it.


The #1 Communication Tool Every Program Needs



Here's the bottom line if you want any program to be successful: you need an email list!



Having an individual's online address, and their interest in receiving news about your activities, is considered the pot of gold. Your organization's master list is one thing, but having lots of specialty lists (so that you know what interests each individual) is even more effective.  That's where you come in! You collect the names, and develop the list.

Having a designated individual for promoting programs is great, but not everyone has a specialized department or person available. Communication is a shared responsibility! Everyone needs to participate.


"If You Build it, They Will Come"

There was a movie called Field of Dreams with Kevin Costner. The theme of the film was, "if you build it, they [these famous dead baseball players] will come." Unfortunately, that adage is not true. Just building something (such as a library program) will not have people flocking to it.



You need to communicate! Repeatedly.



You want to tell those who might be interested in your event the "what," "when," "why" and so forth.




An Email "Newsletter" (or E-zine)

One of the best ways to communicate and establish a relationship is through an email newsletter. Now don't be anxious about having to do a formal publication. The communication can be a simple tip or a casual letter.



The point is that your user base needs to hear from you. Whether you are a marketing director or a library assistant in a Young Adult series, regularly communicating with the people who are interested in your area is what will make your program a success.




Problems With Using Outlook or Gmail to Send to a Group



If you have an email list and you're using your Outlook and Gmail accounts to send notices to them, there are problems! You can't (and shouldn't) send mass emails from your account because:



#1: Email providers (such as Outlook and Gmail) won't allow it. They have set limits. They have a cap on how many emails can be sent in a given period of time. Gmail, for example, has a limit of 500 emails in a day (or 500 recipients in a single email). Outlook is the same.



#2: If you try and send a bulk email it could trigger your account or IP address to be potentially blacklisted ... especially if there are too many spam reports affecting your organization’s domain reputation.



Sure, you can get away with it for a while and stay under the radar. But, with the availability of free email broadcast tools, you gain much more by using them.

·    You can even track when emails are opened, links are clicked or an address bounces.


·    And most importantly, you'll be compliant with the CAN-SPAM rules for email sending in the US. This law sets provisions such as ensuring the recipient has "opted in" to receive your email initially... and the ability to "opt-out" or unsubscribe. What is an Email Broadcast Tool?



Communicating with your users is THE key to successful programs. With an email broadcast tool (not your personal account), you can see when you get higher stats and you can count your loyal fans. These platforms are set up specifically to send to large lists and track the results.



With an email newsletter, you're building relationships. You have a one-on-one connection. It's different from social media because you can see who is opening your email. You can personalize your messages by adding the user's first name. (This increases the effectiveness). You can see if they are interested in what you send, by watching if they open your email.



Don't worry, there are platforms that are actually free to use with up to 2000 emails in your list. Popular platforms include Constant Contact, MailChimp, and MailerLite... to name just a few.

How Does an Email Broadcast Tool Help?

·    It keeps you legal and above board so that you won't get in trouble.


·    You appear more professional to your users so they have a higher respect for your organization.


·    Makes it easy to add text, images and designs so you save bundles of time.


·    It keeps all your lists in one place so that you can easily see who is in which group.


·    You can have one address in multiple lists which means you can see all their interests at once.


·    When you update a contact’s info, it changes in all the lists which helps your data accuracy.



Not only does a broadcast email tool keep you legal, you also have visibility to stats! You want these numbers for your reporting responsibilities and funder requirements.



You'll have stats for how many people open your email, unsubscribe or have an invalid email address in the list. You'll gain useful insight, save time, and develop strong relationships with your users.




Email Newsletter Best Practices


·    Frequency. To help build a relationship with your audience, the bare minimum is monthly; every other week is better and especially important for entrepreneurs and businesses.


·    Timing. Set a defined schedule. You want the recipient to be able to count on it arriving in a predictable manner. This builds trust in you and your message.


·    Topics. Keep the number of items between one and five. That's not a hard and fast number, but don't tell them everything you know in one newsletter, because it won't be read and internalized. More importantly, if it is long and not useful to them, they won't open the next one.


·    Length. Keep it brief. For longer articles, you can link to a blog or website page. (You don't want readers to set it aside to read later, because often that just doesn't happen.)

Strategic use of a Subject Line



You've crafted the perfect email - whether it be a concise request to your supervisor or an event announcement that will be sent to 1000 people.



Your note will probably show up in the recipient's Inbox with 50 others. How can you make it stand out so that it will be read? You need a Subject Line that won't be passed by. You want to be strategic about what you say.



Here are a few Subject Line suggestions that will increase your open rate:



1. Personalize by adding the recipient's first name ... in the subject line. If your email is to one person you can easily add it. If you're using an email platform you can use merge tags to add this personal appeal.



2. Create Curiosity. Use intriguing questions or statements to trigger emotions.
·    Are you interested?
·    An idea for you
·    A status, please
·    Can we talk?



3. Add a Deadline for Ugency (if applicable).
·    Register by April 1st to get a seat.
·    This offer expires on February 28th.
·    Get the premium rate if you purchase today.



Keep it short and to the point. Up to 50% of people check email from mobile devices and you don't want your subject line to be cut off. Keep it to under 50 characters (4-7 words).



Don't use ALL CAPS, exclamation points or spammy words like "free."

One-on-One Vision Talks



I bet you go straight to organizational goals in your head when you hear, "let's talk vision".



Actually, I'm going to suggest a new idea: a one-on-one meeting with your manager or supervisor to talk about the goals that you have to achieve your future vision. There are many benefits that can come from having these conversations on a regular basis ... at least annually if not more frequently.


·    Shaping responsibilities to match your goals.
·    Knowing someone understands what is important to you.
·    Building relationships and trust.



If you are a person who has folks reporting to you, imagine how much more effective everyone would be if you sat with each person and had them share what they would like to accomplish ... personally, professionally, and perhaps financially.



Don't wait for a specific time of year. Now is a great time to look back on the previous year to see what has been achieved, and ask ourselves what we want to accomplish next.
