SEIU Employees Sick Leave and Additional Time Worked in the Same Week as a Holiday Talking Points:

Important note: Please do not forward this message directly to employees. A sample email to employees follows this message, but it is best practice to work with your agency’s communications staff to develop messages that can be shared with employees.



Overview: A small portion of 25,000 SEIU employees who had sick leave and additional time worked during weeks with a holiday may be impacted by the time calculation update implemented into Workday Payroll. The DAS Workday Team created a report (AUD | Active SEIU Members with SL and OT between Selected Date) that will provide Payroll Partners with an estimate of the number of employees who had this particular set of circumstances. This item will need to be communicated at the agency level to provide direct communication to the impacted employees. 

Below are the talking points for Payroll Partners and a sample email to communicate steps that employees need to take:

  *   For SEIU employees, the time calculation has been corrected to include holidays to count as time worked.
  *   Payroll Partners need to identify the impacted employees.

     *    To identify impacted employees, please run the “AUD | Active SEIU Members with SL and OT between Selected Date” report

  *   Payroll Partners will then go to the affected week through ‘Enter Time’ and ‘Run Calculations’ for that week.
  *   Time totals will update once ‘Run Calculations’ is completed (see screenshots below).
  *   Employee will need to then submit time to their manager for approval.
  *   All time approved prior to the July 25, 2023, payroll cutoff will be paid out on the Aug. 15 pay. This will include prior months, if they are submitted and approved.
  *   This change will auto calculate when time is submitted and approved beginning with the July pay period.

Good afternoon,  

 

This notice is to inform you of an update implemented in Workday Payroll on Jul. 21, 2023, regarding time worked during weeks with a holiday.   

 

The time calculation was updated in Workday Payroll for SEIU employees to add holidays hours as time worked. What does this mean to you? If you entered sick leave and/or had additional hours worked, you were not previously compensated at the correct straight rate of pay.  The update made on Jul. 21, 2023, corrected the calculation to pay out correctly.



To ensure you receive this pay adjustment, please go to your time sheet(s) that may have been impacted by the update and resubmit your time. Please note that your manager must reapprove all time that was resubmitted. All resubmitted and approved time from Jan. 1 – Jun. 30, 2023, will be processed on the next payroll run that the time was approved on.



Employees that enter time worked for weeks with a holiday for July payroll and months going forward can expect to be compensated accurately at the straight rate of pay.
